In this blog post, we’ll explore why we procrastinate and share some simple but practical tips to help you overcome procrastination for good.
What is Procrastination?
It's crucial to understand what procrastination is and why it happens.
Procrastination is essentially the act of delaying tasks that need to be completed, often by opting for other activities that are far more enjoyable or significantly less demanding.
It's not merely a matter of being lazy; it's frequently about avoiding something that feels challenging, overwhelming, or even unpleasant and daunting.

Common reasons for procrastination include:
- Fear of Failure: The fear of not doing a task perfectly can lead to avoidance.
- Overwhelm: Feeling overwhelmed by the complexity or size of a task can make it hard to start.
- Lack of Motivation: Sometimes, we simply don’t feel motivated to do something, especially if the reward isn’t immediate.
- Perfectionism: The desire to do something perfectly can result in not doing it at all.
Now that we understand some of the reasons behind procrastination, let’s dive into some effective strategies to overcome it.
1. Break Tasks into Smaller Steps
Large tasks can be intimidating, leading to procrastination. By breaking down a task into smaller, more manageable steps, it becomes less daunting. Each small step you complete will give you a sense of accomplishment, motivating you to continue.
Example: Instead of saying, "I need to write a report," break it down into smaller tasks like "research the topic," "create an outline," and "write the introduction."
2. Use the Two-Minute Rule
If a task takes less than two minutes to complete, do it immediately. This rule is particularly useful for small tasks that are easy to put off but can quickly add up. By tackling these small tasks right away, you reduce the mental clutter that comes with an ever-growing to-do list.
Example: Respond to an email, wash a dish, or file a document—all within two minutes.
3. Set Specific Deadlines
Deadlines create a sense of urgency and can help you stay focused. Instead of vague deadlines like "someday" or "soon," set specific dates and times for when tasks need to be completed. If a task doesn’t have a natural deadline, create one for yourself.
Example: "I will complete the first draft of my report by Friday at 5 PM."
4. Practise the Pomodoro Technique
The Pomodoro Technique is a time management method that involves working in short, focused bursts (usually 25 minutes), followed by a short break. This technique helps maintain focus and prevents burnout. By committing to just 25 minutes of work, you overcome the initial resistance to starting.
How to do it:
- Set a timer for 25 minutes.
- Work on the task until the timer goes off.
- Take a 5-minute break.
- Repeat the process, taking a longer break after four sessions.

- Use apps like Focus@Will or source some focus music on YouTube to create a productive environment.
- Use website blockers like StayFocusd to block distracting sites.
6. Reward Yourself
Incentivize yourself by setting up a reward system. Completing tasks can be more appealing when there's a reward waiting at the end. Rewards don’t have to be big; they just need to be something you’ll look forward to.
Example: After finishing a difficult task, treat yourself to your favourite snack, a short walk, or a relaxing activity.
7. Reflect on Your Successes
Take time to reflect on the tasks you've completed and the progress you've made. Celebrating small wins can build momentum and increase your confidence, making it easier to tackle larger tasks in the future.
Tip: Keep a journal of your accomplishments, no matter how small, and review it when you feel demotivated.
8. Find an Accountability Partner or Virtual Assistant
Sometimes, having someone else hold you accountable can make a big difference. Share your goals with a friend, family member, colleague or a virtual assistant and ask them to check in on your progress.
Even a co-work session with your virtual assistant holds you accountable, meaning you really can get stuff done! The benefit of having someone co-working alongside you means you are more likely to stay focused on your work and be productive.
With someone else keeping tabs on your progress, you can stay motivated and on track.
Example: If you’re trying to exercise regularly, find a workout buddy who will expect you to show up at the gym.
